Welcome to Xana ("we," "our," or "us"). We are committed to protecting your privacy. This Privacy Policy explains how our AI-powered personal assistant application collects, uses, and safeguards your information when you visit our website or use our mobile application.

- Account Information: Name, email address, and profile picture (via Google Sign-In).
- Voice & Audio Data: When you use our voice features, we process your audio input to transcribe and execute your commands.
- User Content: Notes, tasks, and calendar events you create or sync.
- Device Information: IP address, device type, and operating system for troubleshooting and security.
3. How We Use Your Information
- To provide the core AI assistant service (e.g., creating tasks from voice notes).
- To authenticate your identity.
- To maintain and improve the reliability and security of our Service.
We do not sell your personal data. We do not share your data with third parties for advertising or marketing purposes. We do not use data received from Google APIs to develop, improve, or train generalized AI and/or machine learning models. Google Workspace data is only used to process your immediate requests within the Service.
4. AI and Third-Party Processing
To provide our Service, we share data with trusted third-party AI processors:
- Transcription: We use speech-to-text services to convert speech to text.
- Intelligence: We use OpenAI/Anthropic to process text and generate responses.
- Data Security: These providers are contractually obligated to protect your data and are not permitted to use your personally identifiable data to train their general public models without consent.
5. Google API Limited Use Disclosure
TheXana's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We strictly use this data to provide and improve the core functionality of TheXana (such as creating calendar events via voice commands). We do not use Google Workspace data to develop, improve, or train generalized AI and/or machine learning models, nor do we sell this data or use it for advertising purposes.
6. Data Retention
- Audio Data: Raw audio recordings are retained for processing and then deleted, unless you save a voice note permanently.
- Transcripts: Text transcripts are stored securely until you delete your account or the specific note.
7. Your Rights
You have the right to access, correct, or delete your personal data. You can request deletion of your account and all associated data by contacting us at support@thexana.com.
